Sample Heat Sheet – Guide for New Swim Parents

The heat sheet, sometimes refer to as the Meet Program, is a printed listing of all events for a swim meet. It could be a combined heat sheet, listing both teams' entries into events, or it could list only our team entries.

Events are listed in order and each event is a race for a specific age group. Odd numbered events are girls and even numbered are boys. Often, events will be combined to speed up the meet depending on the number of swimmers in the events and the number of lanes available. In that case, boys and girls will be swimming at the same time, but each event will be scored separately. The lane assignments may be odd or even and not dependent on home or visiting team.

What if My Swimmer Has Different Events or Heats?

  • Your swimmer may swim in multiple events during the meet
  • Each event has its own Event #, Heat, and Lane
  • Even within the same event, there may be multiple heats
  • Always check the heat sheet for each event separately
  • Don’t assume one time covers the whole meet

Swimmer & Volunteer Check-In Procedure

Arrival at the Meet:

  • Please arrive 15 minutes before warm-ups begin.
  • All swimmers and parent volunteers must check in with the designated Swimmer/Parent Volunteer Check-In Coordinator upon arrival.

Check-In Location:

  • The check-in station will be clearly marked and located in our designated team area within the meet venue.

Swimmers:

  • Swimmers must also check in directly with their coaches after arriving.

Late Arrivals:

  • If you arrive after the meet has started, please check in immediately to avoid missing scheduled events or volunteer assignments.

Swim Meet Essentials

To ensure a smooth and enjoyable meet experience, please bring the following items:

  1. Chair
  2. Towels
  3. Pop-up tent
  4. Black Sharpie
  5. Sunscreen
  6. Snacks and water
